You're under a house, up a ladder, or elbow-deep in someone's switchboard. The phone rings. You can't get it. By the time you ring back at smoko, they've booked someone else.

I've been there. Before I built software, I was an apprentice welder with a phone buzzing in my pocket that I couldn't answer. Every tradie knows that feeling, and most just wear the cost.

An AI receptionist is the fix a lot of Aussie tradies are now looking at. Here's what it actually is, what it costs, and what to check before you hand it your phone.

What is an AI receptionist?

An AI receptionist answers your business phone when you can't. It talks to the caller like a person would, works out what they need, takes their details, and sends you a summary. The good ones can also check your calendar and book the job.

You'll see it called a few things: AI receptionist, AI phone answering service, AI answering service, virtual receptionist. Mostly the same idea. Watch that last one, though: "virtual receptionist" can also mean a real person in a call centre, so check which you're getting.

How many calls do tradies miss?

Probably more than you think. One Aussie marketing agency, AIIMS, looked at calls to its own clients and found roofers missed 17.6% of them and flooring businesses 17.9%, close to one in five. Across the nine industries it looked at, the average was 9.2%.

That's one agency's clients, not every tradie in the country, but it matches what you'd expect. Calls come in while you're working, and you're always working.

And a missed call isn't a voicemail. Someone with a burst pipe doesn't leave a message. They ring the next number on Google.

What are a tradie's options for answering calls on the tools?

Voicemail

Free, and close to useless. Most people hang up on it, and the ones who don't leave "it's Dave, call me back" with no idea what the job is.

A human answering service

A real person in a call centre answers in your business name and takes a message. Usually billed per call, roughly $1.50 to $5 a call in Australia, or as a monthly bundle. You get a message, but most can't quote, book into your calendar, or tell a hot water system from a heat pump.

Your partner or an office manager

Works brilliantly until they're busy, sick, or asleep. And it's the most expensive option by a mile.

An AI receptionist

Answers every call, at any hour, and never puts anyone on hold. Most built for Aussie tradies cost a flat $100 to $300 a month, some with a setup fee. The good ones book the job straight into your calendar.

What should an AI receptionist do for a tradie?

  1. Pick up fast. Within a couple of rings, every time, even when two calls come in at once.
  2. Sound like a local. An Aussie voice that knows Paddington is a suburb and "the dunny's blocked" is a job.
  3. Sort urgent from routine. A burst pipe at 9pm gets put through to you, or handled under your after-hours rules. A quote for a new deck can wait till morning.
  4. Take the details properly. Name, number, address, what the job is, and when suits.
  5. Book the job into the calendar you already use, inside the hours and the areas you actually work.
  6. Text you a summary, so a glance at your phone between jobs tells you exactly what's waiting.
  7. Never quote what you haven't told it. If it doesn't know the price, it says you'll confirm.
  8. Filter the junk. Telemarketers and "about your Google listing" calls shouldn't make it to you.

What should tradies watch out for in an AI receptionist?

  • Robotic or overseas-sounding voices. Callers hang up on anything that sounds like a script. Ring it yourself before you buy, from a noisy spot.
  • Lock-in contracts. Plenty are month to month. Don't sign a year up front for something you haven't tested.
  • Per-minute billing. Fine for a few calls, painful in a busy month.
  • Promises it can't keep. It should only quote what you've told it, and never book a time you can't make.
  • Being upfront with callers. Tell people they're talking to an AI assistant, and tell them if calls are recorded. It's the honest thing to do, and the rules on recording calls differ from state to state.

Do I have to change my number to use an AI receptionist?

No. You keep your number. You set your phone to forward the calls you don't pick up, after a few rings or when you're already on a call, to the AI receptionist's number. Telstra, Optus and Vodafone all support it, and it takes a minute to set up. On most plans with unlimited calls, forwarding to an Aussie number is included, but check yours.

You still answer when you can. It only picks up the ones you miss.

Can an AI chatbot answer my website after hours too?
