What is an AI agent? A plain-English guide with real examples

An AI agent is software that does a job from start to finish in your own tools. How one works, how it differs from a chatbot, and real Aussie examples.

The best AI agents do the boring work overnight and leave a tidy summary for the morning.

If you're reading this. You've obviously heard about AI agents.

"Agents" is kind of a weird word. I'm not sure where it came from, but in this article, we'll explain exactly what an AI agent is, what it can do for you, and if you should be using one in your Aussie business.

An AI agent is the step up from a chatbot. A chatbot answers questions. An agent gets work done: it reads, decides, and acts in the tools you already use, then tells you what it did.

Matey builds custom AI agents for Australian businesses and runs its own business on one, so this is the builder's version: what an AI agent is in plain English, how it works, how it differs from a chatbot. We'll also drop some real examples, including what went wrong with ours.

What is an AI agent?

An AI agent is software that uses an AI model to do a job from start to finish. You give it a goal, like "find ten Australian pet stores with no chat on their website", and it works out the steps, uses tools to carry them out, checks the result.

Most agents keep going until the job is done, which can be sketchy. But more on this later.

In simple terms, a chatbot is a junior on the phone who answers simple questions.

An AI agent is a staff member who's on the books with a login, a to-do list, and a set of rules.

Three things make something an AI agent rather than plain AI:

  • A goal. It works towards an outcome, not just the next reply.
  • Tools. It can act: search the web, read a file, update a spreadsheet, draft an email, or check a calendar.
  • Its own next step. It decides what to do next based on what it just found, without someone instructing every move.

How does an AI agent work?

An AI agent works in a loop: plan, act, check, and repeat.

  1. Plan. It reads the goal and breaks it into steps
  2. Act. It uses a tool for the first step, like searching the web or opening an inbox
  3. Check. It reads what came back and decides whether that step worked
  4. Repeat or stop. It moves to the next step, tries another way, or stops and asks a human

Every AI agent works more-or-less, with that exact loop - whether it comes from Microsoft or was built by Matey.

What is the difference between an AI agent and a chatbot?

The difference between an AI agent and a chatbot is that a chatbot talks and an AI agent acts.

A chatbot answers questions in a chat window and waits for the next message. An AI agent works through a job in your tools until it's done.

The line between AI agents and chatbots is blurring. A good AI chatbot on a business website is often a small agent too: when a customer asks for a tent in their size, a matey searches the store's real catalogue, checks the stock, and adds the right one to the cart. We cover that side in what is a chatbot and custom chatbot development.

Is ChatGPT an AI agent?

Plain ChatGPT is an AI assistant, not an AI agent. It answers when you ask, then waits for you. Nothing happens unless you type. This is changing as time goes on though.

ChatGPT's agent mode is closer to an AI agent. Give it a task and it works through it in its own browser, clicking, reading, and filling in forms while you watch. It's handy for one-offs.

An AI agent built for a business is different again. It runs on its own schedule, inside the business's own tools, with limits written in, and it does the same job well every day instead of a new job every time someone asks.

As scary as it sounds. AI agents are getting so good they can realistically replace humans in some positions.

What does an AI agent actually do in a small business?

An AI agent in a small business takes over repetitive jobs with clear outcomes. These are the jobs we see AI agents do well for Australian small businesses:

  • Inbox triage: Sorts incoming email, drafts replies to the routine ones, and flags what needs you
  • Company brains: Answers staff questions from your own documents, policies, and past jobs, and says where it found the answer
  • Lead research: Finds businesses that fit, checks their websites, and writes up who to contact and why
  • Morning reports: Pulls the numbers from your store, accounts, or ads each morning and tells you what changed
  • Jobs between systems: Copies orders, bookings, or contacts between tools that don't talk to each other
  • Customer-facing agents: A chatbot that can act: checks stock, books a time, or adds a product to the cart

AI agents do badly at jobs with no clear finish line, or where one wrong move is expensive, like paying bills or changing prices without a person checking.

Inbox, phone, and a stack of job sheets. An AI agent should take the boring half of this off his desk.

What is an example of an AI agent in a real Australian business?

Matey's own outreach runs on a custom AI agent, so here's a real AI agent "in the wild" example, flaws and all.

It lives in our team chat. When we ask for leads, it finds Australian online stores, checks their website, and fills in our outreach sheet with who runs the business and how to reach them. When a demo is ready, it writes the email as a draft in the inbox.

For anyone who's ever done cold outreach, you can understand how much time this saves.

Three things we learnt building it:

  1. Drafts, never sends. The agent can write an email but can never send one. A person reads every draft and clicks send. That one rule is why we trust it near the inbox.
  2. Make it read everything. An agent that skims makes confident mistakes. Ours once reported a store missing from our list when it was sitting further down the sheet. Now it reads to the first blank row, every time. It's simple things like this that make all the difference - but can we easily missed.
  3. One job per conversation. Long, wandering conversations cost more and drift off track. Each job gets its own thread, and the agent reports back when it's done.

That's the pattern for any custom AI agent: one clear job, the right tools, and hard limits. It's how Matey builds custom AI agents for other Australian businesses too.

What are the 5 types of AI agents?

The five types of AI agents come from the classic AI textbook, Artificial Intelligence: A Modern Approach by Stuart Russell and Peter Norvig. Here they are with small business examples:

  1. Simple reflex agents react to what's in front of them with fixed rules, like an email filter that files every invoice
  2. Model-based reflex agents keep track of things they can't see right now, like a stock alert that remembers what sold yesterday
  3. Goal-based agents plan steps towards a goal, like a lead research agent working towards ten good prospects
  4. Utility-based agents weigh up options and pick the best one, like a delivery planner choosing the cheapest route that still arrives on time
  5. Learning agents get better from feedback, like an agent whose drafts improve after you correct its first few

Most business AI agents today are goal-based agents built on a large language model, with some learning from your corrections.

What is an AI agent harness?

An AI agent harness is the software around the AI model that turns it into an agent: the loop that keeps it working, the tools it can use, the memory it reads, and the rules it can't break.

The model does the thinking. The harness decides what the model is allowed to touch. When an AI agent goes wrong, the fix is usually in the harness, not the model.

What are the best AI agents for small business?

The best AI agent for a small business is the one that takes a job off your plate in the tools you already use. These are the main kinds and who each one suits:

Are AI agents safe for a small business in Australia?

AI agents are safe for a small business when they only get the access their job needs and a person checks anything that leaves the building. Treat an AI agent like a new staff member in their first week:

  • Start read-only. Let it read and draft before it can change or send anything
  • Write the limits down. What it can touch, what it can never do, and when it must ask
  • Keep a record. Every run should leave a log of what it read and what it did
  • Mind personal information. An agent that reads customer emails or orders is handling personal information, and there's a bunch of laws around this... so be careful.

How can you tell if something is really an AI agent?

Run the Matey agent test. If the answer to all four questions is yes, it's an AI agent. If not, it's a chatbot, an assistant, or plain automation with "AI" in the name.

  1. Does it work towards a goal, not just the next reply?
  2. Can it act in your tools, not just tell you what to do?
  3. Does it pick its own next step based on what it finds?
  4. Does it know when to stop and hand over to a person?

Got a job that eats your week? That's where a custom AI agent earns its keep. Or if you'd rather start with something that answers your customers, try a matey on the homepage.

Questions people ask

What is an AI agent in simple terms?

An AI agent is software that does a job for you from start to finish, not just answers a question. You give it a goal, and it works out the steps, uses your tools to do them, checks the result, and stops to ask a person when it should.

What is the difference between an AI agent and a chatbot?

A chatbot talks: it answers questions in a chat window. An AI agent acts: it reads, decides, and does the job in your tools, like sorting an inbox or updating a spreadsheet. A good AI chatbot on a business website is often a small AI agent too, because it can look things up and add products to a cart.

Is ChatGPT an AI agent?

Plain ChatGPT is an AI assistant, not an AI agent: it answers when you ask, then waits for you. Its agent mode acts more like one, working through a task in a browser while you watch. An AI agent built for a business runs on its own, in the business's own tools, with limits on what it can touch.

What is an example of an AI agent for a small business?

Matey's own outreach runs on a custom AI agent. It finds Australian online stores, checks their websites, fills in our lead sheet, and drafts the emails, and a person reads every draft and clicks send. Other common examples are inbox triage, a company brain that answers staff questions, and agents that move information between systems.

How much does a custom AI agent cost in Australia?

A custom AI agent is usually quoted on the job, because no two do the same work. Matey quotes custom AI agents on how many tools they connect to, how much they read, and how often they run. Off-the-shelf agent tools charge a monthly subscription instead.

Are AI agents safe to use with customer data in Australia?

They can be, if the AI agent only gets the access its job needs and a person checks anything it sends or changes. An agent that reads customer details is handling personal information under the Privacy Act 1988, so treat it like a new staff member: limited access, clear rules, and a record of what it did.
